your information.

Who we are

Sahrène Systems is a software studio based in Johannesburg, South Africa. We operate sahrenesystems.tech and property.sahrenesystems.tech (Sahrène Property). In this policy, “we”, “us” and “our” mean Sahrène Systems, the responsible party for the personal information described here.

Our Information Officer

As provided for in POPIA, the head of Sahrène Systems acts as our Information Officer. You can reach them through the form on our contact page by choosing “Other”, about anything in this policy, including requests to exercise your rights.

What we collect

• Project and contact forms on sahrenesystems.tech: your name, business email address, company (optional), what you are building, your budget bracket, your timeline (optional) and the project details you write to us.
• Waitlist form on property.sahrenesystems.tech: your name, email address, how many properties you manage, the plan you are interested in (optional) and anything you tell us about your situation (optional).
• Discovery call bookings: if you book a call through our online calendar, the booking provider collects your name, email address, the time you choose and any answers you give.
• Analytics and advertising data, only on sahrenesystems.tech and only if you accept these cookies: the pages you visit, how you arrived (for example from an advert), your approximate location, your device and browser type, and actions such as opening the booking calendar, expanding a case study or sending a form. We record the service, budget bracket and timeline you chose, but never your name, email address or message.
• Security information: when you send a form, our website may run a Cloudflare Turnstile check, which looks at technical signals from your browser to tell people apart from automated spam.

When you send a form, it goes to our website first. Our website checks it, removes anything that is not part of the form, and passes only the details listed above to our form provider. We do not pass on your IP address or browser details with your enquiry.

Cookies and your choices

On sahrenesystems.tech, analytics and advertising tools are switched off until you choose to allow them in our cookie banner. You can accept or reject them all, or choose by category, and you can change your mind at any time through Cookie settings at the bottom of every page. If you withdraw consent, we stop the tools and delete the cookies they set on our domain.

• Essential: remembers your cookie choice in your browser’s local storage for 12 months, after which we ask again. This cannot be switched off, because it is how we respect your choice.
• Analytics: Google Analytics, loaded through Google Tag Manager, helps us understand which pages are useful and where visitors leave. Its cookies (such as _ga) last up to 2 years.
• Advertising: Google Ads, LinkedIn and Meta help us measure which campaigns lead to enquiries. Their cookies (such as _gcl_au, li_fat_id and _fbp) last up to 90 days.

Sahrène Property does not use analytics or advertising tools and sets no cookies.

Why we use your information

• To reply to your enquiry, prepare a proposal and arrange a discovery call. We rely on your request and on the steps needed before entering into a contract with you.
• To deliver and support the software we build for you under our agreement.
• To manage the Sahrène Property waitlist, including telling you when the product is ready and asking for your feedback. We rely on your consent, which you can withdraw at any time.
• To measure and improve our website and advertising, only with your consent through the cookie banner.
• To keep our website and forms secure and free of spam, which is in our legitimate interest and yours.

We only contact you about the reason you got in touch. We do not send direct marketing without your consent, and you can ask us to stop at any time.

Who we share it with

We use carefully chosen service providers (operators, in POPIA’s terms) who process information on our behalf and only for the purposes above:

• Cloudflare hosts this website, runs the code that checks form submissions and provides the Turnstile security check. Like any web host, Cloudflare processes your IP address and browser details to deliver pages securely, and may keep short-lived technical logs.
• Forminit (forminit.com) stores form submissions for us once our website has checked them.
• Google Fonts delivers the typefaces used on this website, so your browser requests them directly from Google’s servers.
• Google (Tag Manager, Analytics and Ads), LinkedIn and Meta receive analytics and advertising data, only if you have accepted those cookies.
• Our scheduling provider (Cal.com or Calendly) receives your booking details if you book a call online.

We do not sell, rent or trade your personal information.

Information sent outside South Africa

Some of these providers store or process information on servers in other countries, including the United States and the European Union. We only use providers that are bound by laws, binding corporate rules or agreements that give your information a level of protection comparable to POPIA, as section 72 of POPIA requires.

How long we keep it

• Enquiries that do not become projects: deleted within 12 months of our last contact with you.
• Client and project records: kept for the length of our engagement and for up to 5 years afterwards, to meet our tax, accounting and legal obligations.
• Waitlist details: kept until Sahrène Property launches and you have had the chance to decide whether to use it, or until you ask us to remove them.
• Analytics data: kept for up to 14 months in Google Analytics, then deleted automatically.

You can ask us to delete your information sooner, unless the law requires us to keep it.

Your rights

Under POPIA, you may:

• ask whether we hold personal information about you, and request a copy of it;
• ask us to correct, update or delete your information;
• object to us using your information, including for direct marketing;
• withdraw your consent at any time, including through Cookie settings;
• lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.

We will respond to requests within a reasonable time and may ask you to confirm your identity first.

Security

This website is served only over encrypted HTTPS connections with strict security headers. Every form submission is validated and cleaned on our server, bots are filtered out, and access to submissions is limited to the people who need it to reply to you. No method of transmission or storage is completely secure, but if a breach ever affected your information, we would notify you and the Information Regulator as POPIA requires.

Children

Our services are intended for businesses and adults. We do not knowingly collect personal information from children.
